Internet Services Fact Sheet 5

Preparing a document for use in a web page

The purpose of these guidelines is to help those wishing to use word processor documents in the preparation of web pages. We ask that those submitting documents to us to follow them as much as possible.

Documents to be used in a web page can be prepared by any word processor. However formatting can be lost especially for tables. We advise the following:

  1. A recent Windows version of either MS Word or Wordperfect be used (we prefer Word). Note: we suggest Office 97 version, not Word 2000.
  2. Do not use tabs or multiple spaces as these are lost in conversion.
  3. Tables should be done as proper tables.
  4. Indentations should be formatted, not done with tabs. Do not use more complex formatting than necessary.
  5. Bulletted and numbered lists can be used.
  6. Do not use a lot of different fonts, use just one or two. Use only common Windows fonts e.g Arial, Times New Roman, Courier New.

Documents submitted to us should be in MS Word for Windows format.

A simple web page can be produced just by saving as HTML in Word (recent versions only). However the web page produced tends to be larger than necessary and not very efficient.

Word 2000

In order to convert Word documents to reasonable web pages with Word 2000 you will need to download the HTML Filter 2.0 for Office 2000 from the Microsoft Office web site (265Kb). You will find it in the Download section.

The site GoHTM can also be used to convert documents into web pages.
